Privacy Policy

This Privacy Policy explains how LabelQuill collects, uses, shares, and protects personal information when you use our website, applicant portal, worker tools, and related services.

We process personal information to operate the LabelQuill platform—registration, applications, training, identity verification, task work, quality review, earnings, and payouts. By using the service you acknowledge the practices described here.

1. Information we collect

Account and profile. Name, email address, password hash (if you use password sign-in), authentication provider identifiers, locale preferences, and account status.

Application and onboarding. Application responses (education, experience, availability, and similar fields you submit), application status and review notes, training progress and scores, qualification results, agreement acceptance records (including typed name and timestamps), and onboarding state.

Identity verification. Information and media you submit through our verification flow (such as government document images, selfie or face-scan frames, and related metadata), verification status, provider references, and delivery logs to our secure operations channels. We use this to confirm identity and reduce fraud.

Work and quality. Task claims, drafts, submissions, automatic quality checks, human review decisions, performance metrics, and related audit events.

Finance. Ledger balances and transactions, earning records, payout requests and status, tokenized or masked payout-method descriptors (for example brand and last four digits), provider references, and financial audit events. We do not store raw card PAN, CVV, or banking passwords on LabelQuill application servers when card details are collected through designated secure flows.

Communications. In-product notifications, support or contact messages you send, and transactional email metadata (template, delivery status). Message content you submit through Contact is processed to respond to your inquiry.

Technical data. IP address, user agent, requested paths, timestamps, approximate device/browser information, and security signals. Rate limiting may store a secret-derived hash of a key rather than the raw key.

Campaign attribution. Limited source or campaign codes (for example sanitized utm_source and utm_campaign values) when you arrive from a careers or referral link. We do not build cross-site advertising profiles from these parameters.

2. How we use information

We use personal information to:

  • Create and secure accounts, authenticate users, and prevent abuse
  • Evaluate applications and operate onboarding, training, and agreements
  • Verify identity and eligibility for paid work
  • Deliver Tasks, evaluate quality, and communicate about your work
  • Calculate earnings, process payout requests, and prevent fraud or duplicate claims
  • Provide customer support and send service notices
  • Monitor reliability and security, debug issues, and improve the product
  • Comply with law, enforce Terms, and protect rights and safety

We may create aggregated or de-identified statistics that do not reasonably identify you and use those for analytics and business reporting.

3. Legal bases (where applicable)

Where required (for example under the GDPR/UK GDPR), we rely on one or more of: performance of a contract with you; legitimate interests in operating a secure workforce platform; consent where we ask for it; and legal obligation. You may withdraw consent where processing is consent-based, without affecting prior lawful processing.

4. How we share information

We share personal information with:

  • Service providers that host infrastructure, send email, support verification or messaging, process payments, or provide security and analytics—under contracts that limit use to our instructions
  • Customers and reviewers only as needed to evaluate Task output (typically without exposing unnecessary account credentials)
  • Professional advisors and authorities when required by law, legal process, or to protect rights, safety, and the integrity of the platform
  • Successors in connection with a merger, acquisition, financing, or sale of assets, subject to appropriate confidentiality

We do not sell your personal information for money.

5. International transfers

We may process and store information in the United States and other countries where we or our providers operate. Where required, we use appropriate safeguards for cross-border transfers (such as standard contractual clauses or equivalent mechanisms).

6. Retention

We retain personal information for as long as your account is active and as needed to provide the service, resolve disputes, enforce agreements, maintain security and audit trails, and meet legal, tax, and accounting requirements. Typical categories:

  • Account and application records: for the life of the account, then up to 7 years for compliance archives where required
  • Identity verification media and logs: for the period needed for fraud prevention and regulatory review, then deletion or secure archival
  • Task and quality records: for the life of related projects and applicable audit windows
  • Ledger, payout, and tax-relevant records: generally 7 years or longer if law requires
  • Support correspondence: generally up to 3 years after closure unless a longer period is needed

When retention ends we delete or de-identify information, except where preservation is legally required.

7. Security

We use administrative, technical, and organizational measures appropriate to the risk, including encrypted transport (HTTPS), access controls, role-based admin permissions, password hashing, audit logging for sensitive actions, and least-privilege practices. No method of transmission or storage is completely secure; you also help by using a strong unique password and protecting your devices.

8. Your choices and rights

Depending on your location, you may have rights to access, correct, delete, or export personal information; object to or restrict certain processing; and withdraw consent. You may also lodge a complaint with a supervisory authority where applicable.

To exercise rights, email privacy@LabelQuill.com or use Contact. We may need to verify your identity before fulfilling a request and may decline requests that are unlawful, excessive, or would impair the rights of others or our security obligations.

You can update certain profile fields in your account settings. You may opt out of non-essential marketing emails via the unsubscribe link; transactional and security messages will still be sent as needed to operate your account.

9. Cookies and similar technologies

We use essential cookies and similar technologies for authentication, security, load balancing, and remembering preferences. We may use limited analytics cookies to understand product usage. You can control cookies through your browser settings; disabling essential cookies may break sign-in or other core features.

10. Children

LabelQuill is not directed to children under 18. We do not knowingly collect personal information from children. If you believe we have collected such information, contact us and we will take appropriate steps to delete it.

11. Automated decision-making

We use automated quality checks and eligibility rules to operate the marketplace efficiently. Significant decisions about account standing or payouts may also involve human review. You may contact us to request information about processes that materially affect you.

12. Changes

We may update this Privacy Policy from time to time. The effective date will change when we do. Material changes will be posted on this page and, where appropriate, communicated by email or in-product notice. Continued use after the effective date means you accept the updated Policy.
